Case Study

A Nashville social media marketing freelancer stopped rebuilding invoices every month

Three freelancers billing retainers for social media, PR, and email marketing. One line item per month, emailed to the client, marked paid when the Zelle transfer lands. No rebuilding. No hunting for payments.

The problem: rebuilding the same invoice every month

Each of these freelancers bills a single client the same amount every month. Before Salepager, that meant opening a blank invoice, typing the same line item, sending it, then waiting to see if the Zelle transfer showed up. Every month, from scratch.

How they use Salepager

Three freelancers, three clients, three different services. Each one set up their invoicing once and now runs it the same way every month.

1

One line item per month

Every invoice has a single line item named for that month of work. "June Social Media Retainer." Nothing is itemized by post or by hour. The client sees the month, the amount, and a pay-by date.

2

Email delivery, same day

Invoices are emailed the day they are created. A half-month and a full-month invoice can go out on the same day without getting mixed together. Each one has its own number and its own status.

3

Recurring series, set once

One freelancer set a recurring series for the year. Same line item, one invoice per month, laid out through December. No copying, no templates, no monthly reminder to create the next one.

4

Bank-matched Zelle payments

When a Zelle transfer lands, it matches to the open invoice automatically. One freelancer saw the Zelle match happen without retyping the invoice or hunting for the transfer. Mark it paid, add a short note, done.

5

Pending vs. paid status

An invoice that has not been paid yet stays pending. An invoice marked paid is the record that the transfer landed. Months not yet due stay pending until the client pays. No separate receipt needed.

6

Payment notes on the record

When an invoice is marked paid, a short note goes on it. "Payment for June retainer." "Zelle received 6/3." The note stays with the invoice so neither side has to dig through texts or emails later.

What the dashboard looks like

Three clients, each with a clear status. Paid invoices are the record. Pending invoices are what is still owed. Nothing is ambiguous.

What changed

Three freelancers stopped rebuilding invoices from scratch. Here is what their workflow looks like now.

1
Line item per invoice. Named for the month, not itemized by task or hour.
0
Invoices rebuilt from scratch. Recurring series and repeat billing handle the next month.
Auto
Zelle match from the bank feed. No retyping the invoice or hunting for the transfer.
0
Separate receipts issued. The paid invoice is the receipt.

I used to open a blank invoice on the first of every month and type the same thing I typed last month. Now I just check whether the Zelle transfer matched and mark it paid. The invoice was already there waiting.
